Wiacom guest WiFi captive portal and WiFi marketing platform

Guest WiFi Captive Portal and WiFi Marketing Platform

Not just a Captive Portal

Wiacom Guest WiFi is a vendor-agnostic captive portal, identity and engagement platform for hotels, shopping malls, retailers, restaurants, education campuses and public venues. It works with existing WiFi infrastructure, allowing organisations to modernise guest access without replacing functional access points or controllers.

Venues can create fully branded WiFi journeys, choose appropriate registration and verification methods, manage consent, authorise network access, analyse visitor activity, deliver portal advertising and connect eligible audiences with CRM, CDP, loyalty and digital-advertising platforms.
Wiacom separates guest onboarding from network access. In addition to captive-portal registration, organisations can use Guest Connect, WiFi Pass, Passpoint and other supported access methods according to their infrastructure and customer journey. Data collected through Wiacom remains owned by the customer organisation.

Configure the Complete Guest WiFi Journey

Wiacom gives each organisation control over how visitors register, which information is requested, how identities are verified, when network access is granted and what guests experience before and after connecting.

  • Flexible registration: Offer registration-free access, email registration, confirmed email, mobile number with OTP, social login, vouchers or other configured methods.
  • Custom portal stages: Configure welcome, registration, additional-information, confirmation, thank-you and welcome-back experiences for different venues and visitor types.
  • Advertising and content: Deliver branded images, video, HTML content and tenant or sponsor campaigns at selected points in the portal journey, with configurable timing, frequency and skip behaviour.
  • Returning visitors: Recognise eligible returning guests and provide an appropriate welcome-back journey without requiring the complete registration process every time.
  • Progressive data collection: Request additional information at relevant stages instead of presenting every field during the initial connection.
  • Access policies: Apply opening hours, session duration, device, bandwidth, quota and other access rules according to the venue’s operational requirements.
  • Consent and data controls: Configure notices, purposes, consent options and communication preferences according to the deployment. Personal information should only be requested when it is relevant to the stated purpose and supported by the appropriate lawful basis.

Selected Wiacom customer deployments have recorded up to 80% known-audience coverage, as measured through their Wiacom dashboards. Results vary according to venue footfall, WiFi usage, registration and verification methods, returning-visitor recognition and deployment configuration.

Custom and White-Label Captive Portal Design

Wiacom creates branded guest WiFi experiences that match the venue, property or customer brand instead of limiting every deployment to a generic splash-page template.

  • Custom portal design: Create the portal from the ground up or adapt a reusable layout with brand colours, fonts, imagery, messaging and calls to action.
  • Multiple journey screens: Design distinct welcome, registration, verification, additional-information, thank-you and welcome-back experiences.
  • Rich media: Use images, video, HTML content, promotional offers and interactive calls to action within the guest journey.
  • Multi-site branding: Apply different designs, campaigns and content across locations, properties, tenants or customer accounts.
  • White-label delivery: MSPs, WiFi providers and partners can deliver the portal experience under their own brand or the end customer’s brand.
  • Mobile and captive-browser support: Portal journeys are designed for smartphones, tablets and captive network assistant browsers commonly used during WiFi connection.
  • Delegated management: Give authorised internal teams, agencies or partners appropriate access to update visuals, campaigns and portal settings.

Portal designs and campaign content can be updated without replacing the venue’s underlying WiFi infrastructure.

Verified Guest Identity and First-Party Data

Wiacom helps venues connect guest WiFi activity with permission-aware customer profiles. Instead of treating every connection as an anonymous device session, the platform can associate registration, verification, consent, visits and engagement with a known guest identity.

  • Contact verification: Email addresses can be confirmed through verification links and mobile numbers through one-time passwords when these workflows are enabled.
  • Unified customer profiles: Combine consented zero-party and first-party data from the captive portal, Guest Connect, loyalty programmes, mobile apps, websites, CRM platforms and other approved sources.
  • Consent and preferences: Record consent status, purposes and communication preferences alongside the customer profile, including subsequent withdrawal or opt-out requests.
  • Audience segmentation: Build eligible audiences using profile information, visit history, location interactions, campaign engagement and other customer-provided or observed first-party data.
  • Customer communication: Engage eligible audiences through configured email, SMS, RCS or WhatsApp services.
  • CRM and advertising activation: Connect approved audience data with supported CRM, CDP, loyalty and digital-advertising platforms through native integrations, APIs or secure exports.
  • Customer data ownership: Data collected through the platform remains owned by the customer organisation.

Audience activation depends on the configured integration, applicable data-protection requirements and the customer’s lawful basis for each processing purpose.

Guest WiFi Consent Management

Wiacom allows organisations to separate network access from optional marketing consent and maintain consent and communication preferences alongside the verified guest profile.

Depending on the configured journey, Wiacom can record when a guest registered, whether the identity was verified, the current marketing preference and subsequent preference changes.

Eligible consent and preference information can be synchronised with supported CRM and CDP platforms, while users can manage applicable preferences through the Wiacom User Portal.

Guest WiFi access does not need to depend on agreeing to receive marketing communications.

Multilingual Guest WiFi Portals

Wiacom supports multilingual captive-portal journeys for venues serving visitors from different countries and language groups.

Guests can select an available language during registration, while venues can localise portal text, instructions, forms, consent choices, terms, offers and confirmation screens. Different locations or brands can use their own language combinations and region-specific content.

A guest’s selected language can also be used, where appropriate and permitted, to deliver more relevant service messages and consented communications. Additional languages can be configured according to deployment requirements.

Vendor-Agnostic Guest WiFi Integration

Wiacom operates as an independent software layer above the existing WiFi network. Organisations can introduce guest identity, captive-portal onboarding, access control, analytics and engagement without replacing functional access points, controllers, gateways or SSIDs.

The platform can integrate using:

  • External captive-portal flows for compatible controllers and gateways.
  • RADIUS authentication and accounting for identity-based network access and session visibility.
  • Controller and cloud APIs for supported provisioning and management workflows.
  • Wiacom Agent for infrastructure that exposes management capabilities only within the customer’s local network.
  • Webhooks, APIs and SDKs for connecting external identity, CRM, property, loyalty and operational systems.

Supported infrastructure includes Cisco Meraki, Cisco WLC, HPE Aruba, Ruckus, UniFi, Cambium, Fortinet, MikroTik, TP-Link, Huawei and other compatible networking platforms. This allows MSPs and organisations to maintain a consistent guest WiFi experience across mixed-vendor and multi-site estates.

Feature availability varies according to vendor, controller model, firmware, licensing and the selected integration method. Wiacom confirms the supported capabilities and deployment requirements for each environment.

Managed Guest WiFi and Captive Portal

Wiacom can be delivered as a managed guest WiFi and captive portal service, including onboarding configuration, portal branding, identity and consent workflows, integrations, analytics and technical support.

The platform can operate across single locations, multi-site organisations and mixed-vendor WiFi environments without requiring customers to replace functional network infrastructure.

Cisco Meraki Guest WiFi Integration

Wiacom provides guest WiFi and onboarding applications for compatible Cisco Meraki environments. Both applications are listed on the Cisco Networking App Marketplace:

  • Wiacom Guest WiFi — captive-portal onboarding, guest identity, engagement and analytics.
  • Wiacom Guest Connect — URL- and QR-based registration that can operate before connection or independently from the captive-portal journey.

Wiacom remains vendor-agnostic, allowing the same platform to support Cisco Meraki locations alongside other compatible WiFi environments.
